CLIENT ADMINISTRATOR II
Responsible for the complete administration of corporate accounts involving trusts, agencies and estates to include recommendations based upon analysis performed. Represents the bank to clients and external service providers. This position is part of the company goal of retaining clients. Primary point of contact/relationship lead for client.
Daily contact with Trust clients to answer general inquiries, or facilitate client requests. Process all transactions to include collection of critical documents, processing of cash disbursements, trades, account balances, establishing new accounts, facilitating client requests for discretionary distributions, trust terminations, etc., to ensure proper administrative management.
Manage large (as defined by the business) accounts, ensuring complete and accurate documentation is maintained. Analyze the accounts and make appropriate recommendations to best meet the needs of the client and maintenance of assets or business interests. Provide this by actively supporting the revenue-generating activities pursued by senior account representative.
Foster client relationships, frequently serving as the point of contact for client questions either directly from the client and/or client representatives. Working collaboratively with the senior account representative/relationship manager to resolve issues, escalate as may be appropriate and to make referrals to the correct resource.
Develops and maintains a high level of knowledge trust, planning, corporate and basic investment disciplines and begins to develop a broader knowledge of investment, credit, and insurance disciplines. Provides/maintains appropriate levels of controls to minimize possible losses.
Demonstrate an in-depth knowledge of corporate policies and procedures related to the administrative role. As appropriate to the business supported, develop and maintain a high level of knowledge of the trust and agency discipline and service/product alternatives for the client. Stays current and is able to articulate current industry standards.
Draft materials for client meetings and prepare board packets.
Provide support for Fiduciary Advisors or Relationship Managers by greeting clients, managing telephone calls, sorting and delivering mail, maintaining supplies, scheduling appointments, maintaining appointment calendars for managers. Coordinate all travel arrangements and prepare business itinerary.
Adhere to applicable compliance/operational risk controls in accordance with Company or regulatory standards and policies.
Promote an environment that supports diversity and reflects the M&T Bank brand.
Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
Complete other related duties as assigned.
NATURE AND SCOPE:
Direct contact with clients, internal resources and external (i.e. clients/customers, investment professionals, attorneys, etc.) professionals/businesses in support of the client relationship. Support the efforts of a variety of professionals to include any/all of Fiduciary Advisors, Relationship Managers, unit managers and supervisors, to name a few. Work within a team environment that requires not only individual focus but actions that support the group as a whole.
Ability to work on multiple tasks under moderate supervision in a fast paced environment.
MINIMUM QUALIFICATIONS REQUIRED:
Bachelor’s degree OR in lieu of a degree, a combined minimum of 4 years higher education and/or work experience.
IDEAL QUALIFICATIONS PREFERRED:
Degree focus on Finance/Accounting/Economics preferred.
Strong focus on customer service and satisfaction; direct client contact.
Knowledge of ERISA and tax laws (for personal trust focus).
Strong skills in office applications (Microsoft Office) and able to rapidly learn new software applications
Excellent written and oral communications skills.
Ability to work in a team environment.
Strong interpersonal skills with an ability to build a significant level of trust with clients; empathy and a real interest in working with people. Self-confident and a proven ability to work well with highly capable and successful individuals.
Trust planning experience and if in an investment oriented business, basic investment knowledge.
CCTS - Certified Corporate Trust Specialist certification.(for corporate trust focus)
Strong analytical ability.
Demonstrated ability to develop strong working relationships with administrative support areas appropriate to the business unit. Examples include Operations and Legal groups.
Essential to contribute to positive working relationships, maintaining integrity and professionalism.
