Basic Function

Under general direction, provides administrative support and assistance to trust account administrators and officers in maintaining trust account relationships to include the collection of critical documents, collection of assets, preparation of disbursements, initiation of security trades and general knowledge of trust and investment accounts to ensure proper administration/investment management.


Essential Position Responsibilities

Serve as a liaison between clients, trust administrators, Bank personnel etc. preparing follow-up letters, responding to questions and/or issues regarding routine departmental or procedural matters. Fosters positive customer/client relations.

Utilize trust accounting software to maintain accounting records. Prepare reports on performance measurement data, major security transactions, brokerage commissions etc.

Prepare documentation for the timely processing of securities trade transactions, disbursements etc. Utilizes PC to perform a wide range of duties including, but not limited to, drafting correspondence for signature, preparing proposals, legal documents, reports and data tables from general instructions etc. Schedule appointments and maintain calendar for managers. Coordinate all travel arrangements and prepare business itinerary.

Provide clerical support for administrators and officers by screening visitors and telephone calls, sorting and delivering mail, maintaining supplies etc.

Prepare client letters from established templates to obtain appropriate information.

Prepare, sort and review document folder for administrative review and approval.

Establish and maintain record keeping and filing systems for department.

Assist in new account set-up, preparing business/client presentations, correspondence etc.

May be involved, to some extent, in some or all of the following: (i) setting policy or developing and overseeing the implementation of procedures or controls related to compliance requirements within the overall business processes; (ii) directly or indirectly monitoring functions that, on a day-to-day basis, ensure that the procedures and controls are functioning as designed (e.g., reviewing and resolving exception reports or ensuring that exception reporting is occurring and/or providing reporting and trending of data for management), (iii) developing training of business line personnel regarding procedures and controls designed to ensure compliance with laws and/or regulations, (iv) performing or overseeing embedded compliance self-testing, or (v) managing examinations or audits involving regulatory matters and any resultant corrective actions. Perform other related duties and projects as assigned.


Nature and Scope

Incumbent works on multiple tasks under general supervision in a fast paced environment.

Contacts are both internal and external (i.e. clients/customers, investment professionals, attorneys etc.) External contact with customers involving inquiries regarding reviews, statements, remittances, trades and account balances. Internal relationships with a variety of levels, including supervisors and administrators. Authorization for individual disbursement up to $10,000, approval authority based on SEI system levels.


Basic Qualifications

Bachelor’s degree and a minimum of 1 years’ relevant work experience with direct client contact, or in lieu of a degree, a combined minimum of 5 years higher education and/or work experience, including a minimum of 1 years’ relevant work experience with direct client contact.
Strong focus on customer service and satisfaction; direct client contact.
Strong verbal and written communications skills.


Degree focus on Finance/Business.
CCTS (Certified Corporate Trust Specialist) certification if corporate trust focus.
Strong skills in pertinent software applications, with ability to learn new applications.
Strong interpersonal skills with ability to build significant level of trust with clients; empathy and a real interest in working with people.  Self-confident and proven ability to work well with highly capable and successful individuals.  Strong analytical ability.
Demonstrated ability to develop strong working relationships with administrative support areas appropriate to the business unit.  Ability to contribute to positive working relationships and maintain integrity and professionalism.

Technical Skills

Proficiency in MSWord, Excel and Access.

Knowledge of the Bank's organization, policies, and procedures and trust accounting systems a plus.
