BASIC FUNCTION:

While a direct report of the Family Wealth Managing Director, the Client Administrator III works under the supervision of the group’s Senior Relationship Manager(s) and Fiduciary Advisor(s) and is involved with many aspects of servicing client accounts.

Responsible for all aspects of trust administration, servicing of high net-worth private and institutional clients. Supports revenue-generating activities by supporting senior account representative.
Daily contact with Trust clients to answer general inquiries, or facilitate client requests. Process all transactions to include collection of critical documents, processing of cash disbursements, trades, account balances, establishing new accounts, facilitating client requests for discretionary distributions, trust terminations, etc., to ensure proper administrative management.
POSITION RESPONSIBILITIES:


Under the supervision of Senior Relationship Manager(s), the Client Administrator III assists the Senior Relationship Manager(s) and Fiduciary Advisor(s) with the process of opening, maintaining and closing client accounts.  Additionally, under the direction of the Senior Relationship Manager(s), the Client Administrator III participates in special company projects.

  • At the direction of the Senior Relationship Manager or Fiduciary Advisor, the Client Administrator III performs the following tasks:
    • Prepares account opening documents
    • Processes account opening and closings, including fee setup, statement set-up, on-line portal enrollment, tax cost basis, and acquisition dates.  Ensure coding is correct on SEI
    • Completes initial 60 day administrative reviews.  Run the required supporting documentation for the annual reviews for Senior Relationship Manager(s) and Fiduciary Advisor(s)
    • Reviews daily activity reports for accuracy of all transactions processed
    • Reviews daily overdraft reports.  Works with the client team to resolve all overdrafts
    • Researches past bill payments and reviews and submits bills for processing; assures the accurate and timely payment of clients’ personal bills and the transfer of funds and distributions to clients’ bank accounts; affiliated Wealth accounts, administers clients’ gifts of cash and stock to charities
    • Reviews and updates remittance ticklers and memo events
    • Reviews accounts and “will advise” to prevent overdrafts
    • Executes client distributions/checks/wire transfers/ACH payments
    • Deposits checks into clients’ accounts including tax refunds, insurance, annuities, director’s fees, and miscellaneous income.  Interact with banking partners to process deposits
    • Pays quarterly tax estimates; corresponds with trustees and portfolio managers regarding estimates; and sends correspondence to clients and/or clients' accountants
    • Prepares periodic statements, customized reports, periodic and annual budgets and annual accountings as requested by client 
    • Analyzes and reconciles trust account and inventories
    • Updates Saleslogix with pertinent client information
    • Prepares client correspondence and responds to all client communication
    • Assists with scanning requirements
    • Inputs manual pricing
    • Interacts with clients and COIs
    • Completes Initial Administrative Reviews

Adhere to applicable compliance/operational risk controls in accordance with Company or regulatory standards and policies.

Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
Complete other related duties as assigned.
NATURE AND SCOPE:
Direct contact with clients, internal resources and external (i.e. clients/customers, investment professionals, attorneys, etc.) professionals/businesses in support of the client relationship. Support the efforts of a variety of professionals to include any/all of Fiduciary Advisors, Relationship Managers, unit managers and supervisors, to name a few. Work within a team environment that requires not only individual focus but actions that support the group as a whole.
Ability to work on multiple tasks under limited supervision in a fast paced environment. 
MINIMUM QUALIFICATIONS REQUIRED:
Bachelor’s degree plus a minimum of 2 years relevant work experience with direct client contact. OR in lieu of a degree, a combined minimum of 6 years higher education and/or work experience.
IDEAL QUALIFICATIONS PREFERRED:
Degree focus on Finance/Accounting/Economics preferred.
Strong focus on customer service and satisfaction; direct client contact.
Strong skills in office applications (Microsoft Office) and able to rapidly learn new software applications
Excellent written and oral communications skills.
Ability to work in a team environment.
Strong interpersonal skills with an ability to build a significant level of trust with clients; empathy and a real interest in working with people. Self-confident and a proven ability to work well with highly capable and successful individuals.
Trust planning experience and if in an investment oriented business, basic investment knowledge.
Strong analytical ability.
Demonstrated ability to develop strong working relationships with administrative support areas appropriate to the business unit. Examples include Operations and Legal groups.
Essential to contribute to positive working relationships, maintaining integrity and professionalism.
