Job Description

BASIC FUNCTION:
Manages design and usage of space to provide for changing needs of the organization. Ensures corporate standards are maintained while effectively providing for internal customer needs.

POSITION RESPONSIBILITIES:
Develop space plans to meet significant organizational needs. Gather program (headcount/space needs) data from business units and other sources. Develop test fits on existing or reconfigured space layouts. Develop blocking and stacking diagrams, restack scenarios, migrations plans, demo and proposed plans, etc. Assist with selection of finishes (paint/carpet/millwork, etc.) and other interpretations of corporate space standards. Assist with creating and advocating supporting business cases to gain management approval.
Assist Construction Department partners with project management/coordination on space projects by assuring full communication with internal customers, coordinating with vendors, internal business partners, etc., assisting with move management efforts and updating AutoCAD drawings to reflect space changes.
Meet space needs of individuals or small groups that do not require physical space changes by locating available seats, assisting with the move management process, providing supplemental furniture, etc.
Assist in development of space strategies at the building and geographic levels to accommodate supply and demand changes. Gather, analyze and communicate data and information to propose solutions for occupancy needs.
Develop space standards and policies to assist with the build-out, maintenance and management of space. Research new furniture options, including arranging demonstrations. Remain engaged and aware of industry trends that promote an effective workplace.
Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the Company’s Risk Appetite. Identify risk-related issues needing escalation to management.
Adhere to applicable compliance/operational risk controls in accordance with Company or regulatory standards and policies.
Promote an environment that supports diversity and reflects the M&T Bank brand.
Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
Complete other related duties as assigned.

NATURE AND SCOPE:
Corporate Real Estate is responsible for providing and administering the Bank’s land and building assets, whether owned or leased. Space Planning works with business units to meet current and future workspace needs. The group designs solutions to align individual business needs with overall corporate space programs. The group also maintains and communicates space and employee location data. This position provides design, project management and analytical support of these functions.

MANAGERIAL/SUPERVISORY RESPONSIBILITY:
Provides on-the-job training and support to new team members.

MINIMUM QUALIFICATIONS REQUIRED:
Associate’s degree and a minimum of 3 years’ corporate occupancy or space planning experience, or in lieu of a degree, a combined minimum of 5 years’ higher education and/or work experience, including a minimum of 3 years’ corporate occupancy or space planning experience
AutoCAD proficiency

IDEAL QUALIFICATIONS PREFERRED:
Bachelor’s degree in Architecture, Design, Construction Management or other Facilities-related disciplines
Minimum 5 years’ corporate occupancy or space planning experience
Knowledge of Fire, Health, Safety and ADA Codes
Experience with pertinent facilities management software
Advanced knowledge of furniture, fixture and equipment (FF&E), architectural/interior finishes, lighting, signage and color schemes
NCIDQ (National Council for Interior Design Qualification) registration
Knowledge of BOMA (Building Owners and Management Association) standards
Experience managing projects of varied scope and complexity
Experience with data collection, analysis and presentation for business cases
Strong analytical skills
