Job Description

FUNCTION:

Supports efforts to manage the design and usage of space to provide for the changing needs of the organization. Ensures timely and accurate occupancy information and capture of post-move occupancy assignments.

 

POSITION RESPONSIBILITIES:

  • Assist with efforts to gain approval for space changes to meet significant organizational space needs
    • Gathering program/needs data, 
    • Data analysis, 
    • Creation of business case, etc.
  • Address the space needs of individuals or small groups that do not require physical space changes by 
    • Locating available seats, 
    • Assisting with the move management process
    • Providing supplemental furniture, etc.
  • Assist with management and coordination of space projects by 
    • Ensuring full communication with internal customers, 
    • Coordinating with vendors, internal business partners, etc., 
    • Assisting with move management efforts, 
    • Particularly gathering final employee location data in the facilities management database and 
    • Assisting with updating AutoCAD drawings to reflect space changes, as necessary.
  • Assist in development of space strategies at the building and geographic levels to accommodate supply and demand changes. 
  • Use analytical skills to gather, analyze and communicate data and information to propose solutions for occupancy needs. 
  • Track changes and maintain the currency of information within the facilities management database for occupancy and space utilization via walkthroughs, space audits, departmental contacts, etc.
  • Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the Company’s Risk Appetite. Identify risk-related issues needing escalation to management.
  • Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
  • Complete other related duties as assigned.

NATURE AND SCOPE:

Corporate Real Estate is responsible for providing and administering the Bank’s land and building assets, whether owned or leased. Space Planning works with business units to meet current and future workspace needs. The group designs solutions to align individual business needs with overall corporate space programs. The group also maintains and communicates space and employee location data. This position provides analytical, operational and technical support for these activities.

 

MINIMUM QUALIFICATIONS REQUIRED:

Minimum of 4 years’ higher education and/or work experience

 

IDEAL QUALIFICATIONS PREFERRED:

Bachelor's Degree in Architecture, Design, Construction, Management or other facilities-related discipline

AutoCAD experience

Minimum of 3 years’ occupancy and/or space planning experience in a corporate setting

Experience with facilities management software

Project Management experience

Experience with data collection/analysis/presentation for business cases

Analytical ability
