Basic Function

Responsible for performing high-level administrative / project oriented assignments for departmental executives, relieving management of day-to-day operations and ensuring smooth functioning of department.  Main duties include scheduling meetings, making travel arrangements, organizing daily calendars, filing and organizing documents, and planning and coordinating events.  May supervise or coordinate day-to-day activities of clerical / secretarial staff.

Essential Position Responsibilities

•  Provide a wide variety of administrative and staff support requiring high-level analytical and organizational skills to departmental executives.  Assist in organizing and filing documents. Suggest more efficient ways to manage / organize office and documents.

•  Serve as liaison between the manager and Executive / Senior Management.  Act as the point of contact between the manager and Bank personnel within and outside the department.

•  Manage phone calls and emails.  Receive and screen visitors and phone calls.  Resolve issues as appropriate or relay messages / notify manager.

•  Coordinate and manage daily calendar of the manager.  Resolve conflicts in scheduling appointments.  Must be detail oriented and anticipate the needs of departmental executives for upcoming projects, meetings and conferences to proactively manage schedule.

•  Coordinates all business meeting arrangements, travel arrangements, and prepare business itineraries.  Assist the manager in managing daily meetings and schedules in timely and efficient manner.

•  Respond to questions and / or issues on organizational and departmental matters. Handle a wide variety of situations and conflicts involving the day-to-day activities and operations of the department. Requires working with other administrative assistants to ensure full coverage and efficient functioning of the department.

•  Compose memos, presentations, management letters, and other types of correspondence for departmental executives in a timely and professional manner. 

•  Perform project-oriented assignments for department to include researching data, compiling information, and prepare formal results on results and recommendations.

•  Administer programs, projects, and assignments specific to department. Coordinates and leads organization of departmental social and team activities as it relates to Employee Engagement.

•  May get involved in preparing and maintaining budget for department. Compile data into submission format for executive; monitor budget and report variances to executive. May require preparing reports, data tables, and excel spread sheets of an advanced nature.

•  May supervise or coordinate the workload for clerical / secretarial staff, planning and organizing daily workflow, as well as performance appraisals input, hiring and termination.


 Nature and Scope

•  Incumbent works under general supervision.

•  Incumbent is responsible for performing high-level administrative / project assignments, relieving senior management of many of the day-to-day operations and ensuring smooth functioning of department.

•  Contacts are generally both internal and external.

•  Incumbent must practice confidentiality and discretion on departmental assignments and Bank matters.

 

Minimum Qualifications

Education
Associate's degree or equivalent in experience
Experience
4 years progressive secretarial/administrative support experience with demonstrated development of skills on-the-job


 

Technical Skills

•  Excellent word processing skills. Good writing skills.

•  Highly skilled with current standard word processing, spreadsheet, presentation, and database software and programs.

 

Other Job Information

 •  Strong administrative, organizing, and project management ability.

•  Ability to use independent judgment, discretion and maintain confidentiality on Bank matters. Detail oriented.

•  Ability to communicate effectively and professionally with all levels of personnel.

•  Strong knowledge of Bank's organization, policies and procedures.
